Paying for appointments
Payment is to be made at the time of the appointment or before the appointment. Methods for payment include:

· Cash – please let us know in advance if you wish to pay by cash and will need change as we do not keep cash in the office.

Refunds
Refunds are only available for cancelled or changes appointments when payments are made prior to the appointment. Any applicable late cancellation fees or non-attendance fees will be deducted from the refund. Refunds are not available after appointments have been completed.
Refunds will be made to your nominated bank account via electronic funds transfer.
Rebates
Rebates may be available for services at
· Medicare – Medicare rebates of $88.25 per session are available with a current and valid Mental Health Care Plan. Please speak to your GP about creating a Mental Health Care Plan with them.
There are limits around the type of appointments that are covered by Medicate rebates. In particular, assessments that are conducted over multiple appointments are not all eligible for a rebate.
We can initiate Medicare claims after your payment has been received, but you will need to provide Medicare with your bank details to ensure that the payment is processed by them to your account.
· DVA (department of veterans’ affairs) – We are a registered provider for DVA. No gap payment is required when payments are being made for your appointments by DVA.
· Health insurance providers – The type of rebates provided by private health insurance providers varies. Please check with your provider for details about what is covered in your health insurance policy and the amount of rebates that you may be ale to claim.
Payments for Assessments
Assessment fees are payable for each appointment and are required at the time of the appointment (or before). The fee for the final appointment is inclusive of the written report.
Medicare rebates are not available for assessments. Please contact your health insurance provider to ask about what rebates may be available under your plan.
Rescheduling and cancellations
Appointments can be rescheduled or cancelled with no charge if at least 24-hours of notice is provided. Changes made to appointments within less than 24-hours of notice will result in a late cancellation fee or non-attendance fee. These fees are charged as it is unlikely that we can re-allocate the appointment to someone else in under 24 hours.
· Late cancellation – A late cancellation fee is 50% of the appointment fee and is charged when less than 24-hours of notice is given to cancel the appointment. This also includes appointments that are rescheduled to another day with less than 24-hours of notice. Where appointments can be rescheduled to another available time on the same day, the late cancellation fee will not be charged.
· Non-attendance – The full appointment fee will be charged when no cancellation or rescheduling is made, and the appointment is not attended.
Changes to appointments due to illness
Please do not attend in-person appointments if showing signs of infectious illness. As outlined above, there is no charge if we are notified of cancellations or changes at least 24 hours before the appointment. If you need to reschedule within less than 24-hours of the scheduled appointment, we will offer an online appointment where possible.
Bookings, re-scheduling and cancelling appointments
There are a number of ways to make and change appointments:
· Client portal – A client portal is available for you to book and cancel appointments, as well as check the dates of existing appointments and your invoices. You will need to sign in to the portal to protect your confidentiality and prevent other people from changing your appointments.
